Pipeline System Fields

System fields are pre-defined data attributes within Pipelines. These fields are designed to handle standard data required for core pipeline functionality, which you can customize for your particular application and requirements.

For example, a software company tracking sales opportunities might configure their Pipeline system fields as follows:

  • Won Reason — values such as 'Best Price', 'Superior Features', or 'Fastest Delivery' help the sales team record exactly why a deal was closed, enabling reporting on what drives wins.
  • Lost Reason — values such as 'Lost to Competitor', 'Budget Constraints', or 'Product-Feature Gap' allow the team to identify patterns in lost deals and adjust their strategy accordingly.
  • Division — values such as 'Enterprise Sales', 'SMB Sales', or 'Partnerships' let opportunities be segmented by the internal team responsible, making pipeline reporting more meaningful across the organization.
  • Lead Source — values such as 'Website Enquiry', or 'Cold Outreach' track where leads originate, helping the team understand which channels generate the most pipeline activity.

By tailoring these values to your business, your team can capture richer data and generate more actionable insights from the Pipeline.

These are the system fields you can configure:

  • Won Reason
  • Lost Reason
  • Division
  • Lead Source

Adding a system field item

To add a system field item:

  1. Navigate to Pipelines from the main menu.
  2. Select System Fields.
  3. Navigate to the tab corresponding to the system field to which you want to add an item.
  4. Select ADD ITEM.
  5. Fill out the form to add a system field item.
  6. Select ADD ITEM.

Updating a system field item

To update a system field item:

  1. Navigate to Pipelines from the main menu.
  2. Select System Fields.
  3. Navigate to the tab corresponding to the system field whose item you want to update.
  4. Find the system field item you want to update, then select its Edit row action link.
  5. Make your changes. 
  6. Select SAVE.

Deleting a system field item

You can delete system field items using one of two ways:

  • Deleting a single system field item
  • Deleting multiple system field items

Deleting a single system field item

To delete a single system field item:

  1. Navigate to Pipelines from the main menu.
  2. Select System Fields.
  3. Navigate to the tab corresponding to the system field whose item you want to delete.
  4. Find the system field option you want to delete, then select its Delete row action link.
  5. Finalize the system field option deletion on the confirmation modal.

Deleting multiple system field items

To delete multiple system field items:

  1. Navigate to Pipelines from the main menu.
  2. Select System Fields.
  3. Navigate to the tab corresponding to the system field whose items you want to delete.
  4. Select the system field items you want to delete using their checkboxes. Ticking the topmost checkbox selects all system field items.
  5. Confirm that the 'Delete' option is selected in the bulk actions dropdown button.
  6. Select APPLY.
  7. Finalize the deletion of the system field items using the confirmation modal.
