Creating a Quote

To create a quote:

  1. Navigate to Ecommerce from the main menu.
  2. Select Quotes.
  3. Select CREATE QUOTE.
  4. Fill out the forms on the following tabs. You may refer to their corresponding sections in this article for input requirements and descriptions:
    • Details
    • Items
    • Discounts
    • Contacts
    • Shipping
    • Billing
    • Custom Fields
    • Notes

Details

Use this tab to provide the quote's primary details. Input requirements are displayed below:

Input Label Type Required Description
Quote Reference Input Field No Unique code to help you and your client identify the proposal instantly.
Quote Date Date Field No The official issuance date of the quote.
Quote Status Dropdown Field No

Status of the quote used to track the deal's lifecycle, giving you a bird's-eye view of your sales pipeline. Options include:

  • Open
  • Quote
  • Quote Accepted
  • Quote Sent
  • Quote Amended
  • Quote Rejected
  • Processing
  • On Hold
  • Cancelled
  • Refunded
  • Completed
  • Subscription Active
  • Subscription Cancelled
  • Other
Currency Dropdown Field No Sets the transaction currency, allowing you to close international deals with local pricing precision.
Opportunity Dropdown Field No The pipeline opportunity associated with the quote.
Is Scheduled Toggle No Enables future-dated quotes, perfect for securing orders that need to be fulfilled on a specific upcoming date.
Recurring Group ID Input Field No Bundles multiple items into a single subscription. Ideal for complex service packages billed on one unified cycle.
Is Recurring Toggle No Determines if the quote being created is a recurring quote.
Processing FeeNumber FieldNoProcessing fee charged for the quote. Allows for manual adjustments to cover administrative or service costs directly within the quote.
Shipping Instructions Text No Shipping instructions for end users and logistics providers.

Items

This tab allows you to add the following types of items to your quote:

  • Custom Line Item
  • Ecommerce Product

Custom Line Item

To add a custom line item from the 'Items' tab:

  1. Select the dropdown () on the ADD ITEM button.
  2. Select Add Custom Line Item.
  3. Fill out the form for adding a custom line item.
  4. Select ADD ITEM.

The input requirements and descriptions for adding a custom line item are as follows:

Input Label Type Required Description
Item Name Input Field Yes Name of the item.
SKU Input Field No Unique reference code for the item, helping you maintain organized records for non-catalog sales.
Item Image Upload Field No Image of the item.
Quantity Number Field Yes The total number of units provided, used to automatically calculate the final subtotal.
Unit Price Number Field Yes The cost per individual unit, serving as the base for all tax and total calculations.
Unit price includes tax Toggle No Determines whether the entered price already accounts for tax, ensuring transparent, honest pricing.
Tax Type Radio Group No

Defines the calculation method for tax, such as a fixed flat fee or a percentage-based rate (VAT/GST). Options include:

  • Percentage
  • Fixed Amount
Unit Tax Number Field No Tax amount applied to the item.

Ecommerce Product

To add an ecommerce product from the 'Items' tab:

  1. Select ADD ITEM.
  2. Fill out the form for adding an ecommerce product to the quote.
  3. Select ADD ITEM.

The input requirements and descriptions for adding an e-commerce product line item are as follows:

Product Dropdown Field Yes Standard product offered in the ecommerce database.
Product Variants Dropdown Field Yes Variant of the product.
Item Name Input Field Yes Name of the item.
Quantity Number Field Yes The total number of units provided, used to automatically calculate the final subtotal.

Discounts

Use this tab to add discounts to your quote. These are the types of discounts you can choose from:

Custom Discount

To add a custom discount from the 'Discounts' tab:

  1. Select the dropdown () on the ADD DISCOUNTS button.
  2. Select Custom Discount.
  3. Fill out the form for adding a custom discount.
  4. Select ADD DISCOUNT.

The input requirements for adding a custom discount are as follows:

Discount Name Input Field Yes Name of the discount.
Discount Type Dropdown Field Yes

Type of discount. Options include the following:

  • Fixed Amount
  • Percentage
  • Free Shipping
  • Fixed Shipping Discount Amount
  • Percentage Shipping Discount Amount
Discount Value Number Field Yes Monetary value of the discount.

Ecommerce Discount

To add a standard discount from the e-commerce database:

  1. Select the dropdown () on the ADD DISCOUNTS button.
  2. Select Ecommerce Discount.
  3. Fill out the form for adding a standard discount.
  4. Select ADD DISCOUNT.

The input requirements for adding a discount from the standard options are as follows:

Discount Dropdown Field Yes Standard discount stored in the e-commerce database. Please refer to Discounts for more details on creating and managing standard discounts.

Contacts

Use this tab to add contacts to your quote. You may choose from the following types of contacts:

  • Custom Company
  • CRM Company
  • Custom Contact
  • CRM Contact

Custom Company

To add a custom company to the quote using the 'Contacts' tab:

  1. Select ADD COMPANY.
  2. Disable the 'Use CRM Company' toggle.
  3. Fill out the form to add a custom company to your quote.
  4. Select ADD COMPANY.

The input requirements for adding a custom company to the contacts list in the quote are as follows:

CRM Company

To add a company from the CRM to the quote using the 'Contacts' tab:

  1. Select ADD COMPANY.
  2. Enable the 'Use CRM Company' toggle.
  3. Fill out the form for adding a CRM company to your quote.
  4. Select ADD COMPANY.

The input requirements and descriptions for adding a company from the CRM to the quote are as follows:

Custom Contact

To add a custom contact via the 'Contacts' tab:

  1. Select ADD CONTACT.
  2. Disable the 'Use CRM Contact' toggle.
  3. Fill out the form for adding a custom contact to your quote.
  4. Select ADD CONTACT.

The input requirements for adding a custom contact to the contacts list in the quote are as follows:

CRM Contact

To add a CRM contact to the quote via the 'Contacts' tab:

  1. Select ADD CONTACT.
  2. Enable the 'Use CRM Contact' toggle.
  3. Fill out the form for adding a CRM contact to your quote.
  4. Select ADD CONTACT.

The input requirements and descriptions for adding a contact from the CRM to the quote are as follows:

Shipping

Use this tab to add the following types of shipping information to your quote.

  • Shipping Company
  • Shipping Contact
  • Shipping Address
  • Shipping Packages

Shipping Company

You can choose to add one of the following types of shipping companies:

  • Custom shipping company
  • CRM shipping company

You can only add one shipping company to the quote.

Custom shipping company

To associate a custom shipping company with your quote via the 'Shipping' tab:

  1. Select ADD SHIPPING COMPANY.
  2. Disable the 'Use CRM Company' toggle.
  3. Fill out the form for adding a custom shipping company to the quote.
  4. Select ADD SHIPPING COMPANY.

The input requirements for adding a custom shipping company to your quote are as follows:

CRM shipping company

To associate a shipping company from the CRM with your quote via the 'Shipping' tab:

  1. Select ADD SHIPPING COMPANY.
  2. Enable the 'Use CRM Company' toggle.
  3. Fill out the form for adding a shipping company from the CRM to the quote.
  4. Select ADD SHIPPING COMPANY.

The input requirements for adding a shipping company to your quote from the CRM are as follows:

Shipping Contact

You can choose to add one of the following types of shipping contacts:

You can only add one shipping contact to the quote.

To add a custom shipping contact to your quote via the 'Shipping' tab:

  1. Select ADD SHIPPING CONTACT.
  2. Disable the 'Use CRM Contact' toggle.
  3. Fill out the form for adding a custom shipping contact to the quote.
  4. Select ADD SHIPPING CONTACT.

CRM shipping contact

To add a shipping contact from the CRM to your quote via the 'Shipping' tab:

  1. Select ADD SHIPPING CONTACT.
  2. Enable the 'Use CRM Contact' toggle.
  3. Fill out the form for adding a shipping contact from the CRM to the quote.
  4. Select ADD SHIPPING CONTACT.

Shipping Address

You can choose to add one of the following types of shipping addresses:

  • Custom shipping address
  • CRM shipping address

You can only add one shipping address to the quote.

Custom shipping address

To add a custom shipping address to your quote from the 'Shipping' tab:

  1. Select ADD SHIPPING ADDRESS.
  2. Disable the 'Use CRM Address' toggle.
  3. Fill out the form for adding a custom shipping address.
  4. Select ADD SHIPPING ADDRESS.

The input requirements for adding a custom shipping address to your quote are as follows:

Search Address Input Field No Search bar for finding an address. Integrating your Instance with Google Maps lets you use the 'Search Address' field to search for a particular address and automatically fill out the form. Please refer to the Google Maps Integration article to learn how to set up Google Maps.
Address LabelInput FieldNoA custom nickname (e.g., 'Work' or 'Home') used to quickly identify this address.
Address 1 Input Field No Shipping address line 1.
Address 2 Input Field No Shipping address line 2.
Address 3 Input Field No Shipping address line 3.
City Input Field No City where the shipping address is located.
County Input Field No County where the shipping address is located.
District Input Field No District where the shipping address is located.
Suburb Input Field No Suburb where the shipping address is located.
State Input Field No State where the shipping address is located.
Country Input Field No Country where the shipping address is located.
Postal Code Input Field No Postal code of the shipping address.
Latitude Input Field No Latitude of the shipping address.

CRM shipping address

To add a shipping address from the CRM to your quote via the 'Shipping' tab:

  1. Select ADD SHIPPING ADDRESS.
  2. Enable the 'Use CRM Address' toggle.
  3. Fill out the form for adding a CRM shipping address.
  4. Select ADD SHIPPING ADDRESS.

The input requirements for adding a shipping address from the CRM to your quote are as follows:

Shipping Packages

To add a shipping package to your quote via the 'Shipping' tab:

  1. Select ADD SHIPPING PACKAGE.
  2. Fill out the form for adding a shipping package to your quote.
  3. Select ADD SHIPPING PACKAGE.

The input requirements for creating a shipping package are as follows:

Package Name Input Field Yes Name of the shipping package.
Package Status Dropdown Field Yes

The shipping status of the package. Options include:

  • Not Applicable
  • Processing
  • Packed
  • In Transit
  • Delivered
Shipping Fee Number Field No Shipping fee for the package.
Package Dispatch Date DateTime Field No Date when the package was dispatched.
Package Delivered Date DateTime Field No Date when the package was delivered.
Freight Supplier Dropdown Field No Freight supplier used in the quote. Please refer to Ecommerce Configuration for more details on configuring this field.
Freight Method Dropdown Field No Freight method used in the quote. Please refer to Ecommerce Configuration for more details on configuring this field.
Freight Option Dropdown Field No Freight option used in the quote. Please refer to Ecommerce Configuration for more details on configuring this field.
Freight Tracking Code Input Field No Tracking code used to review shipping updates.
Items Multi - Select Field Yes Items included in the shipping package.

Billing

Use this tab to add the following types of billing information to your quote:

  • Billing Company
  • Billing Contact
  • Billing Address

Billing Company

You can add one of the following types of billing companies:

  • Custom billing company
  • CRM billing company

Custom billing company

To add a custom billing company to your quote from the 'Billing' tab:

  1. Select ADD BILLING COMPANY.
  2. Disable the 'Use CRM Company' toggle.
  3. Fill out the form for adding a custom billing company to your quote.
  4. Select ADD BILLING COMPANY.

To add a custom billing address to your quote via the 'Billing' tab:

  1. Select ADD BILLING ADDRESS.
  2. Disable the 'Use CRM Address' toggle.
  3. Fill out the form for adding a custom billing address to your quote.
  4. Select ADD BILLING ADDRESS.

CRM billing address

To add a billing address from the CRM to your quote via the 'Billing' tab:

  1. Select ADD BILLING ADDRESS.
  2. Enable the 'Use CRM Address' toggle.
  3. Fill out the form for adding a billing address from the CRM to your quote.
  4. Select ADD BILLING ADDRESS.

Custom Fields

Use this tab to create and manage custom fields. Custom fields store and manage additional information beyond the system's standard data structure and field set. These fields let you tailor the platform to specific needs by enabling users to capture and organize data unique to their business or use case.

Notes

Use this tab to record notes about the quote.
