Managing Database Items

Use this document to guide you through the following activities:

  • Viewing a database item
  • Adding a database item
  • Updating a database item
  • Deleting database items
  • Restoring deleted database items

Viewing a database item

To view a database item:

  1. Navigate to Data from the main menu.
  2. Select Databases.
  3. Find the database containing the database item you want to view and select its Items row action link.
  4. Find the database item you want to view and select its View row action link.

Adding a database item

To add a database item:

  1. Navigate to Data from the main menu.
  2. Select Databases.
  3. Find the database to which you want to add a database item and select its Items row action link.
  4. Select ADD ITEM.
  5. Fill out the form.
  6. Select SAVE. You can also select the dropdown icon () on the SAVE button to Save and add another database item.

Updating a database item

To update a database item:

  1. Navigate to Data from the main menu.
  2. Select Databases.
  3. Find the database containing the database item you want to update and select its Items row action link.
  4. Find the database item you want to update and select its Edit row action link.
  5. Make your changes and select SAVE.

Deleting database items

These are the methods you can use to delete database items:

  • Delete individual database items
  • Delete selected database items
  • Delete all database items

Delete individual database items

To delete database items individually:

  1. Navigate to Data from the main menu.
  2. Select Databases.
  3. Find the database containing the database item you want to delete and click on its Items row action link.
  4. Find the database item you want to delete and click on its Delete row action link.
  5. Finalize the deletion of the database item using the confirmation modal.

Delete selected database items

To delete multiple database items at once:

  1. Navigate to Data from the main menu.
  2. Select Databases.
  3. Find the database containing the database items you want to delete and select its Items row action link.
  4. Select the database items you want to delete using their checkboxes. Ticking the topmost checkbox selects all database items.
  5. Select Bulk Actions , then select Delete.
  6. Select APPLY.
  7. Finalize the deletion of the selected database items using the confirmation modal.
Note

You can use the search bar to filter for and delete database items that fulfil certain criteria. You may filter for the following values:


  • ID
  • Boolean
  • Date
  • Float
  • String

You need to configure your form fields for the filter to be able to search database items using their fields. Please refer to the 'Appearance' section under 'Fields' in the Adding a Database Item article for more details.

Delete all database items

To empty or delete all database items in the database:

  1. Navigate to Data from the main menu.
  2. Select Databases.
  3. Find the database containing the database items you want to delete and select its Items row action link.
  4. Select the overflow menu (), then select Empty Database.
  5. Finalize the deletion of all database items using the confirmation modal.

Restoring deleted database items

Deleted database items can be restored, provided that the database they originally belonged to has been retained. Deleted database items can only be restored within 30 days of deletion. After this period, they are hard-deleted from the database. These are the methods you can use to restore deleted database items:

  • Restore deleted database items individually
  • Restore multiple deleted database items

Restore deleted database items individually

To restore deleted database items individually:

  1. Navigate to Data from the main menu.
  2. Select Databases.
  3. Find the database containing the database item you want to restore and select its Items row action link.
  4. Select the overflow menu (), then select View Deleted Items.
  5. Find the database item you want to restore and select its Restore row action link.
  6. Finalize the restoration of the database item using the confirmation modal.

Restore multiple deleted database items

To restore multiple deleted Database Items:

  1. Navigate to Data from the main menu.
  2. Select Databases.
  3. Find the database containing the database item you want to restore and select its Items row action link.
  4. Select the overflow menu (), then select View Deleted Items.
  5. Select the database items you want to restore using their checkboxes. Ticking the topmost checkbox selects all database items.
  6. Select the Bulk Actions button, then select Restore.
  7. Select APPLY.
  8. Finalize the restoration of the database items using the confirmation modal.
