Importing and Exporting Data for CRM Companies

Insites allows you to import and export your CRM data in bulk. For example, you may need to migrate contact company data from one or multiple spreadsheets (or another CRM) to be centrally managed within Insites. The import/export functionality allows you to do this migration without having to manually re-input all of your data.

Importing companies

Importing allows you to save information from an external data source, such as a spreadsheet or another CRM, into Insites. To import companies:

  1. Navigate to the CRM from the main menu.
  2. Select Companies.
  3. Select the overflow menu () and select Import Companies.
  4. Select the CSV Template link on the 'Import Companies' drawer to download the import template.
  5. Use the CSV template as a guide for creating an import file that matches the input requirements in Insites.
  6. When your CSV file is ready, return to the 'Import Companies' drawer by executing steps #1 - #3.
  7. Use the clickable area on the drawer to upload your CSV file.
  8. Select IMPORT COMPANIES.

These are the input requirements and descriptions for importing company data into the CRM:

String No Universal Unique Identifier (UUID) of the company.
Is Archived Boolean No

Indicates whether the company is archived or active in the CRM. Options include the following:

  • TRUE
  • FALSE
Company Name String Yes Name of the company.
Registered Business Number String No Registered business number of the company.
Category UUID String No Universal Unique Identifier (UUID) of the company category. Input options for this field come from the CRM system fields.
Industry UUID String No Universal Unique Identifier (UUID) of the industry that the company belongs to. Options for this field come from the CRM system fields.
Assigned To Administrator UUID String No Universal Unique Identifier (UUID) of the admin user assigned to this company. Options come from the list of admin users in your Instance Admin.
Type UUID String No Universal Unique Identifier (UUID) of the type of company being added. Options for this field come from the CRM system fields.
Lead Source UUID String No Universal Unique Identifier (UUID) of the lead source of the company. Options for this field come from the CRM system fields.
Website String No Website of the company.
Email 1 String No Primary email address of the company.
Email 2 String No Secondary email address of the company.
Email 3 String No Alternative email address of the company if available.
Phone 1 Country Code String No Country code of the company's primary phone number.
Phone 1 Number String No The company's primary phone number.
Phone 2 Country Code String No Country code of the company's secondary phone number.
Phone 2 Number String No The company's secondary phone number.
Phone 3 Country Code String No Country code of the company's alternative or extra phone number.
Phone 3 Number String No The company's alternative or extra phone number.
Mobile Phone Country Code String No Country code of the company's mobile phone number.
Mobile Phone Number String No The company's mobile phone number.
Facebook Link String No Link to the company's Facebook profile or page.
X Link String No Link to the company's X account.
Youtube Link String No Link to the company's YouTube channel.
Linkedin Link String No Link to the company's LinkedIn page.
Instagram Link String No Link to the company's Instagram profile.
Snapchat Link String No Link to the company's Snapchat.
Social 1 Link String No Link to another social media account used by the company.
Social 2 Link String No Link to another social media account used by the company.
Is Tax Registered Boolean No

Indicates whether the company is tax-registered or not. Options include the following:

  • TRUE
  • FALSE
Tax Reference String No The company's tax reference number.
Notes String No Notes about the company.
Default Address UUID String No Universal Unique Identifier (UUID) of the company's default address.
Addresses Array No Array containing all the addresses added to the company.
Show View Alert Message Boolean No

Indicates whether or not an alert message is displayed whenever a user views a company. Input options include:

  • TRUE
  • FALSE
Alert Message On View String No The alert message displayed whenever a user views a company.
Show Alert Message On Edit Boolean No

Indicates whether or not an alert message is displayed whenever a user edits a company. Input options include:

  • TRUE
  • FALSE
Alert Message On Edit String No The alert message displayed whenever a user edits a company.
Owner Company UUID String No

The Universal Unique Identifier (UUID) representing the company’s owner company. This field proves valuable in scenarios where you encounter multi-level CRM requirements within your project. It enables you to identify the contact’s owner effectively.

For instance, consider a franchise portal where each branch maintains its own CRM system, and the head office can access all of them.

Owner Contact UUID String No The Universal Unique Identifier (UUID) representing the company’s owner contact.
Stripe ID String No The company's Stripe ID.

Exporting companies

Exporting allows you to use your Insites data on a third-party site or tool. To export companies:

  1. Navigate to the CRM from the main menu.
  2. Select Companies.
  3. Select the overflow menu () and select Export Companies.

Importing addresses

To import addresses:

  1. Navigate to the CRM from the main menu.
  2. Select Companies.
  3. Select the overflow menu () and select Import Addresses.
  4. Select the CSV Template link on the 'Import Addresses' drawer to download the import template.
  5. Use the CSV template as a guide for creating an import file that matches the input requirements in Insites.
  6. When your CSV file is ready, return to the 'Import Addresses' drawer by executing steps #1 - #3.
  7. Use the clickable area on the drawer to upload your CSV file.
  8. Select IMPORT ADDRESSES.

These are the input requirements and descriptions for importing company addresses into the CRM:

Exporting addresses

Exporting lets you use CRM company address data on a third-party site or tool. To export company addresses:

  1. Navigate to the CRM from the main menu.
  2. Select Companies.
  3. Select the overflow menu () and select Export Addresses.

Importing relationships

To import relationships:

  1. Navigate to the CRM from the main menu.
  2. Select Companies.
  3. Select the overflow menu () and select Import Relationships.
  4. Select the CSV Template link on the 'Import Relationships' drawer to download the import template.
  5. Use the CSV template as a guide for creating an import file that matches the input requirements in Insites.
  6. When your CSV file is ready, return to the 'Import Relationships' drawer by executing steps #1 - #3.
  7. Use the clickable area on the drawer to upload your CSV file.
  8. Select IMPORT RELATIONSHIPS.

These are the input requirements and descriptions for importing company relationships into the CRM:

CRM Type String No

The type of CRM entity that created the relationship. Options include the following:

  • Contact
  • Company
CRM UUID String No Universal Unique Identifier (UUID) of the CRM entity that created the relationship.
Related CRM Type String No

The type of CRM entity with which the 'CRM Type' established the relationship. Options include the following:

  • Contact
  • Company
Related CRM UUID String No Universal Unique Identifier (UUID) of the related CRM type.
Relationship Type UUID String No Universal Unique Identifier (UUID) of the relationship type.

Exporting relationships

Exporting lets you use CRM company relationship data on a third-party site or tool. To export company relationships:

  1. Navigate to the CRM from the main menu.
  2. Select Companies.
  3. Select the overflow menu () and select Export Relationships.

Notes for importing and exporting companies

Please take note of the system behaviors and requirements discussed in this section when importing files into the CRM.

Notes regarding 'Company' fields

Please take note of the following field requirements and system behaviors:

  • Please refer to the article 'Adding a Company' and take note of the field requirements.
  • The Universally Unique Identifier (UUID) field is an internal field used by Insites. It is unique for all companies.
  • If no UUID is provided, a new record is created with a unique UUID, and Insites creates and stores the data.
  • If a UUID is provided, it must exist in Insites to update a record. If the UUID provided does not match an existing UUID in Insites, the system will throw an error
  • Please provide a value for the 'Country Code' field when adding an address. If no value is provided, the system automatically sets the value to the default country code

Notes regarding system behavior

Take note of the following system behaviors when importing files into the CRM:

  • The Instance logs imports and exports as an event in the system. Please visit the Import and Export Logs article for guidance regarding the status of your imports and exports.
  • You can navigate to other pages while the system is importing or exporting files.
  • Please keep your file size to 10,000 records per upload for an optimal experience.
