Adding an Event

Adding an event consists of the following steps:

  1. Navigate to Events from the main menu.
  2. Select All Events.
  3. Select ADD EVENT.
  4. Fill out the forms across the following tabs:

Details

Use this tab to provide general details about the event you are adding. The input requirements and descriptions are displayed in the table below.

Venue

Use this tab to manage basic details regarding the event venue. The table below displays input requirements and descriptions.

Pricing

This tab lets you add the following pieces of information to your event:

  • Division
  • Pricing tier

Division

The pricing division is a high-level category or segment used to group tickets that share common pricing rules or characteristics, often related to the seating location, level of access, or the target audience.

Once a division is chosen (e.g., 'VIP Seating'), it automatically restricts the available options in the next category, the pricing tier (e.g., "Early Bird" or "General Admission"), to only those tiers relevant to that division.

These are the input requirements for adding a pricing division:

Pricing tier

The pricing tier is a specific price point or package within a pricing division that defines the exact cost, features, and benefits associated with the event. Input requirements for adding a pricing tier are as follows:

Type of tax applied to the ticket. Options include:

  • Percentage
  • Fixed Amount
Tax Number Field Yes Tax applied to the ticket price.
Availability Start DateTime Field No Date and time users can start purchasing tickets.
Availability End DateTime Field No Date and time users cannot buy tickets anymore.

Content

Use this tab to manage content describing the event. The input requirements and descriptions are displayed in the table below.

Speakers

Use this tab to manage event speakers. Input requirements and descriptions are displayed in the table below.

Sponsors

Use this tab to manage the event's sponsors. The input requirements and descriptions are displayed in the table below.

Sponsorship amount includes tax Checkbox No Indicates whether or not the sponsorship amount already includes tax.
Tax Type Radio Group Yes

Type of tax applied to the sponsorship. Options include:

  • Percentage
  • Fixed Amount
Tax Number Field Yes Tax applied to the sponsorship.
Sponsor Weighting Input Field No Numerical weighting for the sponsor.
Content Code Editor No Content describing the sponsor.

Tickets

Use this tab to add tickets for the event. You can add the following ticket types:

  • Individual Ticket
  • Group Ticket

Individual Ticket

The form for adding an individual ticket is organized according to the following sections:

  • Ticket Details
  • Ticket Tier Details
  • Attendee Contact
  • Attendee Company
  • Order Details

Ticket Details

Input requirements for this form section are as follows:

Reference code of the ticket. This code must be unique across all the tickets in your Instance.

Reference Code Input Field NoReference code of the ticket. This code must be unique across all the tickets in your Instance.
Row Input Field No Row code or number for the ticket.
Seat Input Field No Seat code or number for the ticket.
Designation Input Field No Designation of your ticket.
Allocation Status Dropdown Field No

The allocation status of the ticket. Options include:

  • Allocated
  • Unallocated
Confirmation Status Dropdown Field No

The confirmation status of the ticket. Options include:

  • Confirmed
  • Unconfirmed
  • Cancelled
  • Accepted
  • Invited
  • Declined
Attended Dropdown Field No

This field indicates if the event has already been attended. It can be used to determine whether or not the ticket has already been used. Options include:

  • Yes
  • No
QR Code URL Input Field No Uniform Resource Locator (URL) of the QR code referencing this ticket.
Notes Text Area No Notes about the ticket.
Purchased By Dropdown Field No CRM contact that purchased the ticket.
Purchased By Company Dropdown Field No CRM company that purchased the ticket.

Ticket Tier Details

Input requirements for this form section are as follows:

Division Dropdown Field Yes The division the ticket is associated with.
Pricing Tier Dropdown Field Yes Pricing tier of the ticket.
Ticket Price Number Field Yes Price of the ticket.
Ticket price includes tax Checkbox No Determines whether or not the ticket price already includes tax.
Tax Type Radio Group No

Specifies whether the ticket price tax will be calculated as a percentage of the price or as a fixed monetary amount. Options include:

  • Percentage
  • Fixed Amount
Tax Number Field No Value used to calculate tax. Accepts a percentage (e.g., 10) when 'Percentage' is selected in the 'Tax Type' field or a fixed numerical amount when the tax type is 'Fixed Amount.'

Attendee Contact

The fields displayed in this section depend on the following conditions:

  • 'Use CRM Contact' enabled
  • 'Use CRM Contact' disabled
'Use CRM Contact' enabled

The following fields are displayed when the 'Use CRM Contact' toggle is enabled:

First Name Input Field No First name of the attendee.
Last Name Input Field No Last name of the attendee.
Email Input Field No Email address of the attendee.

Contact Type Dropdown Field No Type of attendee being added. The list of options comes from the CRM system fields.
Phone Number (Country Code) Dropdown Field No Country code of the attendee's phone number.
Phone Number Input Field No The attendee's phone number.
Dietary Requirements Text Area No Dietary requirements of the attendee.

Attendee Company

The fields displayed in this section depend on the following conditions:

  • 'Use CRM Company' enabled
  • 'Use CRM Company' disabled
'Use CRM Company' enabled

The following fields are displayed when the 'Use CRM Company' toggle is enabled:

Ticket Tier Details

Input requirements for this form section are as follows:

Group ID Input Field Yes Identifier that links several individual tickets.
Pricing Tier Dropdown Field Yes Pricing tier of the ticket
Ticket Price Number Field Yes Price of the ticket.
Ticket price includes tax Checkbox No Determines if the ticket price includes tax.
Tax Type Radio Group Yes Specifies whether the ticket price tax will be calculated as a percentage of the price or as a fixed monetary amount. Options include:

Ticket Layout

You can use this tab to modify and manage the look and layout of your ticket. It includes the following fields:

Ticket Layout Code Editor No Code editor used to customize the look and layout of your ticket. The tickets are generated as PDF files and automatically created when a new ticket is added, and updated when the ticket is modified.
Toolbox Field Container No Contains dynamic Liquid variables that you can use to automatically populate the ticket upon creation.

Expenses

Use this tab to add expenses for the event. The form is organized according to the following sections:

  • Details
  • Vendor
  • Finance

Details

Input requirements for this section are as follows:

Item Input Field Yes Name or label of expense item.
Category Dropdown Field No Category of expense item. Options are managed using Event System Fields.
Description Text Area No Description of the expense.
Notes Text Area No Notes about the expense.
Attachment Dropzone No File that references the expense item, such as an image or a PDF file.

Vendor

Input requirements for this section are as follows:

Finance

Input requirements for this section are as follows:

Payment status of the expense. Options include:

  • Paid
  • Pending
  • Partially Paid

Invoice Number Input Field No Invoice number referencing the expense.
Invoice Date Date Field No Date of the invoice.
Due Date Date Field No Date when the invoice is due.
Payment Date Date Field No Date payment was made.
Invoice Dropzone No Invoice file.

Sitemap

Use this tab to manage your sitemap. The sitemap serves as a roadmap for search engine crawlers, helping them navigate and understand your page structure. Well-designed sitemaps improve your web pages' chances of ranking higher and appearing more frequently in search results. The input requirements and descriptions are displayed in the table below.

Priority Input Field No The priority of this ticket's URL relative to other ticket URLs on the site. Valid values range from 0.0 to 1.0. URLs are sorted in descending order.
Order Input Field No The order of this ticket's URL in relation to other URLs having the same priority value. Similar priority URLs are sorted in ascending order.
Change Frequency Dropdown Field No

An indication provided to search engines about how often this ticket page will likely change or be updated. Options include the following:

  • Always
  • Hourly
  • Daily
  • Weekly
  • Monthly
  • Yearly

Crawlers treat the values chosen as a 'hint,' not a 'command.' For example, crawlers may crawl pages marked 'hourly' less frequently than that.

Metadata

Use this tab to manage ticket metadata. Input requirements and descriptions are displayed in the table below.

Open Graph

This tab allows you to optimize your Open Graph settings. Open Graph is an internet protocol that standardizes metadata usage within a webpage, allowing you to optimize your content to stand out from other online content. The table below outlines input requirements and descriptions.

Use Meta Title As Open Graph Title Toggle No Enable this option to use the meta title as the Open Graph title. Otherwise, turn the option off if you want to use a different title.
Open Graph Title Input Field No Customized title for your ticket's post on your chosen social media platform. The field can only be used if the 'Use Meta Title as Open Graph Title' option is turned off.
Use Meta Description As Open Graph Description Toggle No Enable this option to use your site's meta description as the Open Graph description. This tag is considered the most important tag of your ticket post. It typically appears as a one—or two-sentence snippet that previews the ticket post.
Open Graph Description Text Area No A customized description for your ticket's post on your chosen social media platform. The field can only be used if the 'Use Meta Description as Open Graph Description' option is turned off. Write this carefully; a good description can mean the difference between getting clicks.
Open Graph Image Dropzone No The image on the preview of your content. The maximum file size is 10MB.
Open Graph URL Input Field No URL (link) that is associated with your content.
Open Graph Site Name Input Field No The name of your site.
Open Graph Type Input Field No Type of content your ticket is posted on, i.e., website, article, or blog.

Schema

Schema markup is a structured data vocabulary that helps search engines understand parts of your web application more deeply. This data enables them to deliver better results to end users. The table below displays input requirements and descriptions.

Media

Use this tab to upload media, such as images and videos. To add media, select a clickable field and choose a file to upload. You can also drag and drop a file from your local machine onto the clickable field.

Please take note of the following information when uploading media to your products:


  • Use the 'Gallery' tab to upload images as best practice.
  • You can add up to four media files with a maximum size of 10MB each.

Gallery

You can use this tab to manage image galleries for your event.

Note

Take note of the following system behaviors when uploading images to the gallery:


  • This tab only allows you to add image files. Use the 'Media' tab to add videos and other media.
  • One field corresponds to an image gallery. You can upload 200 images per album.
  • Recommended image dimensions are 1280px by 1280px. The maximum file size is up to 10MB per image.

System Fields

This tab allows you to use the system fields created and managed using the Event System Fields feature.

Custom Fields

This tab allows you to use the custom fields created and managed using the Event Custom Fields feature.

FAQs

This tab allows you to manage the FAQs you wish to display on the web page concerning the event. Input requirements and descriptions are displayed in the table below.
