Editing together Beta
Last updated 4 November 2026
A warning before two people edit the same record, and a refresh notice when a screen changes.
Two safeguards
Team collaboration is pre-release. This page was written against the build of 4 November 2026 and will be revised at release.
When two people work on the same data at the same time, one of them can overwrite the other without knowing. Insites AI adds two safeguards to the admin. A warning appears when you open a record that a teammate is already editing, and a notice appears when a teammate saves a change to the screen you are looking at. Both are on for every administrator and need no setup.
The already-editing warning
When you open a record, a form, an automation or any other editor that a teammate has open at that moment, a card appears at the top right of the window.
- Go back returns you to the screen you came from, so you can leave the record to your teammate and come back later.
- Continue anyway closes the card and lets you edit. Use it when you have agreed who is changing what, or when you only need to read the record.
The warning is shown once each time you open the editor, so it does not keep interrupting you while you work. It is a warning, not a lock: Insites never stops an administrator from opening or saving a record. If you both save, the later save wins, so agree between you before you continue.
What counts as editing
A person counts as editing while they have a record open in an editing drawer or on an edit screen, or have an automation open in the editor. Viewing a list, a report or a dashboard does not count. When they close the drawer or move to another screen, they stop counting straight away.
The refresh notice
When a teammate saves a change that affects the screen you are looking at, a notice appears at the bottom of the window.
You get the notice when the teammate saved on the same screen as you, or in a record that belongs to the list you are viewing. For example, if you are looking at the Contacts list and a teammate saves a contact, the notice appears. Click Refresh to reload the screen and see the change, or click the cross to dismiss it. The notice also goes away when you move to another screen.
A save counts when a teammate submits a change in the admin: saving a record, applying a change Insites AI proposed, or saving an automation. Reading, searching and filtering do not trigger a notice.
A worked example
You and Ana are both tidying contacts. You open Acme Pty Ltd and the warning tells you Ana is already editing it. You click Go back and take the next contact instead. A minute later a notice appears at the bottom of your list: Ana saved a change. This screen has changed. You click Refresh, see her updated record in the list, and carry on. Nobody lost any work, and neither of you had to ask.
Working together well
- Check the chips in the header before you start a long edit. A ring around a chip means that person is on the same screen as you.
- When you see the warning, use Go back unless you have talked to the other person. Two people saving the same record cannot both win.
- When you see the refresh notice, refresh before you edit, so you work from the latest copy.
- Changes made by Insites AI are recorded in History, so a change that was overwritten by mistake can still be found and reverted.
